Q:

What equipment do we need?
A:
We provide absolutely everything, including the most modern Digital technology available anywhere. If you don’t have your own telephone system, that’s not a problem! We can provide one for you. Or, we can set you up with our latest Autoload Digital On-Hold Audio Playback unit which doesn’t need a switchboard.

Q:

How many different messages are on each recording you produce?
A:
Our standard recordings take the form of up to 8 separate prompts, each representing a key piece of information. The script will be unique to your business and produced with a music background throughout. The total length is approximately 2 ½ minutes.

Q:

Can we change our messages?
A:
Yes you can. Depending on the option you choose your message can be changed as often as you like. We consider ourselves to be fast, very fast, in this field, which means your new message can be created within 3 days if required.

Q:

Do we have to write our own script?
A:
No. Just provide us with the basic information you are trying to get across and we will produce a full script within 48 hours and fax you a draft for approval before we record anything. Of course, if you wish to write your own scripts, you may. We will provide as much (or as little) assistance as you need.

Q:

What's your usual turnaround time?
A:

Our standard turnaround is five business days, but we can provide your new production within three days if you need it in a hurry.

Choosing ‘On Hold’ for your organisation?

Things to consider...

The options are:

Silence – silence is golden, but do your customers know they are still connected?

Beeps – customers know they are connected, but not very informative.

Music – useful for passing the time, but does what you play accurately reflect your business? and does it keep your customers happy?

Radio – great entertainment, but radio stations are commercial operations themselves and will be advertising others peoples products and services....on your time!

Messaging – by far the best solution for any business. Gives you the chance to talk to your customers and use this otherwise wasted time to inform and educate a captive audience!

The most effective tool in any On Hold Marketing plan is a professionally produced and recorded mix of message and music

Voice artist - choosing the right voice

The right sounding voice is essential, but make sure that it's a professional voice artist that does your talking. There are plenty of actors with nice voices but may not give the correct delivery. A young, go-ahead company requires a voice that reflects this: young vibrant voices are key. Maybe you need to deliver instructions? then a mature, authoratative voice would suit best.

Music - making the right choice

The music track must suit your business and your promotions, but has also to be acceptable to your customers. Personal taste should not be a consideration. All styles and genres are useable, but only when placed in the right context. As before, young upbeat music works well with young up-beat promotions. More restrained choices should be made for productions that must deliver more serious content.

PRS - Do I need a license?

Not if you employ the services of a well established On Hold company. Most will hold libraries of copyright free music which require no license at all. Commercial music and radio however do require licensing and this can be costly, especially if you have a large switchboard. If you copy music from CD to your telephone system you will also require an MCPS license in addition to the PRS license.

Production - the right tools and expertise

The production facility is of prime importance. All modern computers can record audio but there is much, much more to a professional production facility than a multimedia PC. It's all about quality, and it takes a long track record of professional experience to make an On Hold production stand out as something special. The production team must be experienced and fluent in a whole range of skills if your production is to have the right impact.

Frequently Asked Questions

Q: How do we know if our phones have message on-hold capability?

A: We will send one of our fully trained engineers to survey your system, FOC

Q: Will the "Digitel Direct" messaging work with all of our lines on our phone system?

A: Yes! It will broadcast to all callers that are placed on hold. No matter if you have one or one hundred lines. Anytime the hold button is pressed your callers will hear the message.

Q: Do we have to write our own scripts?

A: No! Just provide us the information (web site, brochures, letters, copy yellow page ad, newspaper ad or radio copy) you want to announce and we'll produce a full script that will be faxed or e-mailed to you for approval before production. We can even consult with you over the phone to gather ideas for your message.

Q: How often should we update our "Digitel Direct" message?

A: That depends on your type of business. But generally speaking, your "Digitel Direct" message should be updated to correspond with your marketing and promotion campaigns. We offer an affordable update program if your needs require monthly, quarterly or annual revisions.

Q: Can your service work with our automated attendant and voice mail system?

A: Yes! Depending on how your system is programmed, the message will appear every time the auto attendant places the caller on hold after entering the desired extension.

Q: We don't have a business telephone system with a CPU. All we have is a two-line telephone that plugs right into the wall. Can we still use your service?

A: Yes! We offer an inexpensive two line "message on hold adaptor" that will provide superior music on hold capabilities to any consumer-grade telephone. One of these adaptors will work with all telephones connected to the same 2 lines or phone numbers. One adaptor handles unto 2 lines.

Q: Will on hold work with call waiting?

A: No. Because "call waiting" works with one line and does not "roll over" to another line. Therefore, it is not possible to broadcast an on hold message, radio or any other audio source with "call waiting".

Q: Does the message start from the beginning every time the caller is put on hold?

A: No. It plays randomly therefore allowing the caller to hear different areas of the message every time they're asked to hold.

Q: How long is the message?

A: Our standard message is 5-6 minutes in length. In which we can comfortably accommodate between 6-8 different messages, with music background throughout. Longer messages are available if required.

Q: We're ready to buy! How do we get started?

A: Call us now and we will arrange for a consultant to visit you at your convenience.
